How AdaptivOps handles your information.

Scope of this policy.

This policy applies to the AdaptivOps website at adaptivops.com, assessment requests submitted through the website, and information you share with us during inquiries and projects. Our services include websites, branding, content, social media, website support, AI automations, and custom apps and software.

AdaptivOps LLC is based in St. Petersburg, Florida. Our service providers may process or store information in the United States and other locations where they operate. Your applicable privacy rights depend on your location and the laws that apply.

When a client project involves processing information about the client’s customers or users on their behalf, the applicable project agreement and the client’s own privacy disclosures also govern that work.

Information we collect.

Information you provide directly.

Our website forms collect the information you enter and submit, including your name, email address, and any message or assessment preference provided through the form. The homepage calculator’s optional assessment request requires your name and email address and includes the calculator information described below. Please do not send passwords or sensitive personal information through these forms.

If you contact us by email or phone, we receive the information you choose to share. During a project, you may also provide relevant business information, brand assets, content, project materials, feedback, or access needed to perform the agreed work.

Technical information.

Squarespace hosts this website and may collect technical information needed to deliver, maintain, and protect it. This can include IP addresses, browser and device information, referring pages, and information about requests to the site. Hosting and form-processing providers may also process technical information associated with visits and submissions under their own privacy practices.

The Opportunity Calculator.

The homepage calculator uses your selected goal and answers to create an illustrative scenario or suggest a service to explore. Depending on the path you choose, answers may include inquiry volume, eligible past customers, revenue per purchase, task hours, time value, recurring expenses, solution costs, editable scenario rates, and information about your online presence or current workflow. Unknown quantities are not replaced with assumed business figures.

Calculations run in your browser. You can view and edit your results without providing a name or email address. The calculator does not send your answers or results to AdaptivOps merely because you use the tool or open its request form.

If you submit the calculator’s Free Assessment request, your name, email address, selected path, answers, scenario assumptions, displayed results, service recommendation, and request identifiers are sent to AdaptivOps through Formspree. We use this information to review and respond to your request. Submitting a separate assessment form does not automatically attach calculator answers or results; information you include in that form becomes part of its submission.

Your calculator answers and results are held in page memory while you use the tool; the calculator does not save them in local storage or session storage. After Formspree confirms a successful request, the calculator stores a receipt marker associated with that calculator run in your browser’s session storage to help prevent repeat submissions during that run. This marker contains a run identifier and an accepted-status value, rather than your name, email, answers, or results.

How we use information.

We use information for the following purposes:

• Reviewing assessment requests, responding to inquiries, and discussing your goals
• Preparing assessments, recommendations, proposals, and project scopes
• Creating and delivering agreed website, creative, automation, and software work
• Providing ongoing services or support where separately agreed
• Managing communications, project records, billing, and business administration
• Maintaining and protecting the website and our services
• Meeting legal obligations and resolving disputes

Submitting an assessment request allows us to respond about that request. It does not automatically subscribe you to a marketing newsletter. We do not sell personal information or resell assessment requests as leads.

How we share information.

With service providers.

We use providers for website hosting, form processing, email, storage, and project administration. They may receive information needed to perform their role. Section 05 describes these providers and categories.

During client work.

We share project information with the client and, where needed, people or providers involved in the agreed work. We do not share one client’s confidential project information with another client. Use of client work in a portfolio or testimonial is handled separately from assessment submissions.

For legal and business reasons.

Information may be disclosed when required by law, in response to valid legal process, to protect rights or safety, or in connection with a business sale, merger, or similar transaction. Any required notices will be provided in accordance with applicable law.

Service providers we work with.

• Squarespace. Hosts this website and provides the infrastructure used to deliver its pages. See Squarespace’s Privacy Policy.
• Formspree. Processes assessment form submissions, including calculator information when you explicitly submit the calculator’s assessment request, and routes them to AdaptivOps by email. Submissions may also be retained in the Formspree account according to its settings and service terms. See Formspree’s Privacy Policy.
• Email and storage providers. Process and store messages, attachments, and relevant business records used in communications and project work.
• Project and production tools. May process materials needed for agreed work, including design, content, automation, and software tools. Where a project requires access to client systems or personal information, the permitted access and use are addressed during scoping and in the applicable agreement.
• Google Fonts. The website loads fonts from Google’s servers. Your browser makes requests to those servers to display the fonts. See Google Fonts’ privacy information.

These providers have their own terms, privacy practices, and retention arrangements. The relevant providers for a specific client project depend on its scope.

Cookies and analytics.

Squarespace may collect technical and usage information through its hosting services and built-in features. Not using analytics reports does not mean the hosting platform collects no visit information.

The calculator contains conditional event tracking: if a Google Analytics tag is installed on the site, it can record that a calculator journey started, results were completed, or an assessment request was submitted. These calculator event calls do not include your name, email address, answers, scenario figures, or results. The tag and hosting platform may process other visit or device information according to their configuration and privacy practices.

Squarespace and other providers involved in delivering the site may use cookies or similar technologies for functionality, security, and platform features. The calculator also uses session storage for the submission receipt marker described in Section 02. You can learn more in Squarespace’s Cookie Policy.

You can manage cookies and browser storage through your browser settings and any cookie controls presented on the site. Blocking them may affect some features. If we add external analytics or advertising tools, we will review the associated disclosures and controls and update this policy as appropriate.

How long we keep information.

We retain inquiry and project information for as long as reasonably needed to respond to requests, deliver work, provide agreed support, maintain business records, and meet legal obligations. The period depends on the type of information and the purpose for keeping it.

You can request deletion using the contact details in Section 13. We will review the request and explain any information that must be retained under applicable legal requirements or for other permitted reasons. Providers may retain records or backups under their own retention arrangements.

Confidentiality of project information.

We treat nonpublic information shared during inquiries and projects as confidential. We use it to understand your needs, scope and perform agreed work, communicate with you, and administer the relationship, subject to the service-provider and legal disclosures in this policy.

Project-specific confidentiality, access, and data-handling responsibilities are addressed in the applicable agreement. Please discuss any sensitive information or special handling requirements with us before providing it.

Your rights and choices.

You can contact us to ask about your information or request access, correction, or deletion. Depending on your location and whether a particular privacy law applies, you may have additional rights, including rights relating to certain processing activities, appeals, and nondiscrimination.

We will review requests in accordance with applicable law. We may need to verify your identity and may be unable to fulfill a request where an applicable exception permits or requires us to retain information.

We do not sell personal information or use information collected through this website for targeted advertising. Links to our social profiles take you to other platforms, where those platforms’ privacy practices apply.

How we protect information.

We use reasonable measures to protect information, including established service providers and limiting access to people who need it for their work. Security measures depend on the systems and information involved.

No method of transmission or storage is completely secure. We cannot guarantee absolute security. If a security incident requires notification under applicable law, we will provide that notification.

Information about children.

This website is intended for adults seeking business services and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through this website. If you believe a child has provided personal information, please contact us so we can review and address it.

Changes to this policy.

We may update this policy when our practices, providers, or services change. We will update the date at the top of the page and provide any additional notice or obtain consent where required by applicable law.
